n8n vs Zapier — the open-source automation darling vs the industry standard. One charges per task, the other per whole workflow run. But simplicity has a price too.
Open-source workflow automation platform — Reddit's favorite alternative to Zapier. n8n bills per workflow run, not per step, so a 20-step workflow counts once (Zapier counts every action as a task, Make every operation). Self-host the free Community Edition for full data control, or use n8n Cloud. Visual workflow builder, and every plan includes every integration. Ideal for consultants who want powerful automation without SaaS cost creep.
Automation platform connecting 9,000+ apps without code. Build workflows that move data between your tools automatically — scheduling to time tracking to invoicing, no manual handoffs.
Zapier is the right default for most solo consultants. It connects 8,000+ apps, the interface is easy to pick up, and the free tier covers basic automations. You can have "new Calendly booking → create HubSpot contact → send Slack notification" running with zero technical knowledge.
n8n is the better tool if you are technical enough to use it. It is open source, bills per workflow run rather than per step (Zapier counts every action in a Zap as a task), and supports complex logic — loops, conditionals, custom code nodes — that Zapier makes difficult or expensive. The self-hosted Community Edition is free; you only pay for the server.
The trade-off is setup time and maintenance. Zapier is a managed service: you build a workflow, it runs, you forget about it. n8n Cloud has no free plan, only a 14-day trial with 1,000 executions, and self-hosting means managing a server. For a consultant billing $150/hour, the 2-3 hours spent setting up n8n's infrastructure need to pay back through automation savings.
The math: if you run 1,000+ automations per month, n8n saves real money. Zapier's Professional plan starts at $19.99/month billed yearly ($29.99 monthly) and gets expensive fast as your task volume grows; the Team plan starts at $69/month. n8n Cloud Starter is €20/month billed annually (€24 monthly) for 2,500 workflow executions, however many steps each one has.
Pick Zapier if you want automations running quickly and do not want to think about infrastructure. Pick n8n if you are comfortable with a slightly steeper learning curve and want multi-step automations without per-task pricing. Most consultants start with Zapier and graduate to n8n when the Zapier bill gets uncomfortable.

Strong Choice
Best for: Tech-savvy consultants who want powerful automation without per-task pricing or vendor lock-in.
Why pick it: You pay per workflow run, not per step, so long multi-step workflows cost the same as short ones, and the self-hosted Community Edition is free. Self-hosting gives full data control. Visual workflow builder is intuitive despite the power underneath.
Watch for: Steeper learning curve than Zapier. If you want plug-and-play automation with zero setup, Zapier is more beginner-friendly.
Zapier
Strong Choice
Best for: Solo consultants who use 3+ tools and spend time manually transferring data between them.
Why pick it: Largest app ecosystem (9,000+). The free tier covers 100 tasks/month — enough for most solo consultants. No coding required, and the built-in Copilot can build a workflow from a plain-English description.
Watch for: If your tools have native integrations that cover your needs, Zapier adds unnecessary complexity. Also overkill if you only use 1-2 tools.

Common questions
Questions consultants ask before choosing
Is n8n really free?
Self-hosted n8n (the Community Edition) is free — you just need a server (a $5/month VPS works). n8n Cloud has no free plan: after a 14-day trial with 1,000 executions, Starter is €20/month billed annually (€24 monthly) for 2,500 workflow executions. A run counts once however many steps it has, so it is usually much cheaper than Zapier at scale.
Can a non-technical consultant use n8n?
The visual workflow builder is approachable, but n8n assumes more technical comfort than Zapier. If you have never used an API or configured a webhook, start with Zapier. If you are comfortable with basic technical concepts, n8n is learnable in a weekend.
Which is better for consultants, n8n or Zapier?
Zapier scores 84/100 and n8n scores 80/100 on Curalo's consultant rubric. The biggest gap is Trust & support: Zapier 10/10 vs 8/10.

When is Zapier the wrong choice?
